How Our Moving Estimates Work

At Eagles North Logistics, pricing is based on time, scope, and logistics, not guesswork or rigid flat rates. This page explains how estimates are created, how billing works, and what to expect before and after your move.

Our goal is transparency, accuracy, and fair billing based on the actual work performed.

Every move is different. Factors such as the size of the move, access conditions, distance, and preparation level all affect how long a move takes.

Because of this, our pricing structure is designed to be time-based and flexible, while still ensuring your move is properly scheduled and staffed.

Time-Based Pricing Structure

Most coordinated moves are billed based on:

  • Hourly service

  • Crew size assigned

  • Actual time worked

  • ​

This structure allows flexibility when real-world conditions change and ensures clients are billed based on the actual scope of work, not assumptions made days in advance.

Minimum service requirements may apply depending on the type of move.

Estimated Time vs. Final Time

An estimate reflects a projected range, not a guaranteed final price.

Move duration can be affected by:

  • Furniture volume and packing level

  • Building access restrictions

  • Elevators, stairs, or long carry distances

  • Traffic or timing limitations

 

  • Client readiness on move day

Final billing is based on the actual time required to complete the agreed scope of work.

Estimates Are Based on Provided Information

Moving estimates are created based on the details provided at the time of booking.

If any of the following change on move day, total service time may be affected:

  • Additional items not previously disclosed

  • Changes to access conditions (stairs, elevators, parking distance)

  • Delays caused by building restrictions or readiness

  • Changes to the agreed scope of work

Final billing reflects the actual time required to complete the move based on real conditions.

Temporary Authorization Holds (How Payment Is Secured)

To reserve labor and properly schedule your move, a temporary authorization hold may be placed on the payment method before the move begins.

What this means:

  • The authorization reflects the estimated maximum cost of the move

  • This is not a final charge

  • Funds are not fully captured upfront

Once the move is completed, the final charge reflects only the actual hours worked, and any unused portion of the authorization is released according to your bank’s policies.

Example (Simple Explanation)

If a move is estimated based on a projected six-hour timeframe:

  • A temporary authorization may reflect that estimated maximum

  • If the move is completed in six hours, you are charged only for those six hours

  • If it takes less time, you are charged less

  • Any remaining authorization amount is automatically released

You are never charged for time not worked within the agreed scope of service.

What This Authorization Is (And Is Not)

  • A way to reserve your scheduled move

  • A standard pre-authorization used by payment processors

  • A protection against payment issues after service completion

 

It IS NOT:

  • A penalty

  • A guaranteed final price

  • A charge for unused time

Why We Use This Pricing Model

This structure allows us to:

  • Schedule the correct crew size

  • Reserve labor and time blocks

  • Reduce last-minute cancellations

  • Ensure accurate, fair billing

It also benefits clients by avoiding rigid flat rates that don’t reflect real-world conditions.

How Final Billing Works

After the move is completed:

  • Total service time is confirmed

  • The final amount reflects actual time worked

  • Any difference between the estimate  and final total is reconciled

  • Being packed and ready before movers arrive

  • Reserving elevators or loading areas when required

  • Clearly identifying items that should not be moved
